Handling of Personal Information

The Tokio Marine Research Institute

As a member of the Tokio Marine Nichido Group, with customer trust at the foundation of all activities, the Company aims to commit to the promotion of affluent and comfortable society and economic progress through providing safety and security.
The Company, as an entity handling personal information, will properly handle personal information as described below in compliance with the Act on the Protection of Personal Information and other relevant laws and ordinances, and will take appropriate measures to ensure that personal information is secure. The Company will make an effort to conduct training and education for insurance agents and the Company's employees so that personal information will be properly handled. The Company will review and improve the contents described below from time to time.

1.Collection of Personal Information

The Company will collect personal information in a lawful and proper manner to the extent necessary for its business.

2.Purpose of Use of Personal Information

The Company will use personal information to the extent necessary of the activities and collect personal information lawfully and fairly. If the Company changes the Purpose of Use, the Company will give you notice of the details of such changes, or make a public announcement of such changes on its website or in other publications. Personal information will not be used for purposes other than as specified below.

  • Studies and researches for the development of new products and services, mainly related to insurance.
  • Explanation, provision and management of other products and services treated by the Company.
  • Explanation, provision and management of services pertaining above.
  • Explanation of events, campaigns and seminars, and provision of information.
  • Making inquiries about products and services provided by the Company, Tokio Marine & Nichido Fire Insurance Co., Ltd., or group companies.
  • Correspondence for inquiries and requests.

3.Provision of Personal Data to Third Parties

The Company will not provide personal data to a third party without your consent, unless such provision is:
Required under laws or ordinances;
to depositaries, including insurance agents, to the extent necessary to conduct the Company’s business;
to use personal data jointly with a group company of the Company or business partners(Please see Clause 4 “Joint Use with the Company’s Group Companies)

4.Joint Use with the Company’s Group Companies

The Company, Tokio Marine & Nichido Fire Insurance Co., Ltd. and the Company’s group companies may use the following personal data under Purpose of Use Clause 2.(i)-(vi).

  • Personal data: address, name, telephone number, E-mail address, sex, date of birth, any other details described in the application form of non-life insurance policies and statement of payment of insurance benefits.
  • Responsible Person: The Company

5.Handling of Sensitive Information

The Company will not collect, use, or provide to a third party any sensitive information regarding your healthcare and case history(information stipulated in Article 6 of Personal Information Protection Guidelines in financial sector) in respect of the business related to the financial field, excluding those cases defined in the Act on the Protection of Personal Information and other relevant laws and ordinances.

1 Claim for disclosure

i Claim for disclosure

Please direct requests for any notice of disclosure by telephone to the number specified in “7.Contact Information”. A personal information disclosure claim form will be sent to you, which you should complete and return to us.

  • When the claimant is the owner of the personal information:
    • An original copy of the owner’s seal registration certificate (it must show the owner's current address and it must have been issued within the last three months)
    • A copy of the owner’s driver’s license, health insurance card, passport, or other documents issued by a public institution
    • A copy of the owner’s insurance policy of the insurance contract to be claimed for disclosure
  • When the claimant is acting as a proxy for the owner of the personal information:
    • The owner’s identification documents specified in (i) above
    • An original copy of the proxy’s seal registration certificate (it must show the proxy’s current address and it must have been issued within the last three months)
    • A copy of the proxy’s driver’s license, health insurance card, passport, or other documents issued by a public institution
    • If the proxy is an attorney, a document that can prove that he or she has the power of attorney (copy of family register, written judgment of commencement of guardianship, etc.)
    • If the proxy is an attorney in fact, a letter of attorney

 

ii Our response

When a claim for disclosure is received, we will respond in writing to the owner of the personal information after confirming and investigating the details of the claim. When a claim is filed by a proxy, we will respond to the proxy after making sure that such a response would not violate the rights and benefits of the owner. We may not be able to cater to a disclosure claim in certain cases, for example, when there is a possibility of harm to the life, body, assets, or other rights and benefits of the owner or any third party, interfere to a large degree with the appropriate execution of our company’s business, or violate other laws or regulations. In such cases, we will respond stating the reason we could not cater to the claim.

 

iii Charge

A charge of 840 yen (including the current consumption tax of 40 yen) must be paid for a claim for notification of purpose of use and disclosure of retained personal data, so the above fee must be transferred to an account designated by our company. The transfer fee must be paid by the claimant.

8.Management of Personal Data

The Company will take full security measures, such as establishing regulations on handling, and other rules, access control, prevention and developing operation, protection from illegal access and developing an operation system for secure management measures, to manage personal data securely and to prevent divulgence, loss or damage to personal data handled by the Company, and will ensure the accuracy and prompt updating of personal data which is necessary to achieve the Purpose of Use. Further, if the Company consigns any other party to handle personal data, the Company will establish a basis of selection of contractors, conduct necessary and appropriate supervision over such contractors by checking the information management system of such contractors, and monitor the state of business performance after contracting.
